Suggestions, not requirements
A list titled “required documents” is a list that has invented an obligation. These are the steps most small operations take, presented as editable rows with a note saying exactly that, so nobody mistakes a starting point for a rule.
It assesses nothing
No insurance adequacy determination, no license verification, no approval decision. Those are judgments made by people with the relevant information — a broker, an issuing body, you.
No payment credentials
Record the method, not the details. There is no field for a bank account, a routing number or a card, here or anywhere in this batch.

Questions people ask
- Are these the documents I am required to collect?
- No, and the page says so where the list is. What you must collect before paying a supplier depends on your trade, your state, your contract and your insurer. The starting rows are ordinary practice, offered so the page is not empty, and every one of them is editable.
- Does it check whether a certificate of insurance is adequate?
- No. It makes no determination that any cover is adequate, current or appropriate. Whether a policy meets your requirements is a judgment for you and your broker; the COI tracker holds the dates.
- Does it verify licenses?
- No. It looks nothing up and verifies nothing. License requirements differ by state and trade, and verification is done with the issuing body.
- Should I record how they want to be paid?
- Record the method in words — check, transfer, card. Do not record bank or card details here: there is no field for them and the product does not hold payment credentials anywhere.
- Can I run one checklist per vendor?
- Yes. The subject is the business or entity, and each vendor’s steps are their own rows.
