At year end the question is not what the forms say, it is which vendors never sent one. That is a fact about your process and it is invisible until somebody writes the requests down.

No identification numbers, anywhere

Questions people ask

Can I record the EIN once the form arrives?
No. There is no field for one and there will not be. No EIN, no SSN and not the last four digits of either — a partial government identifier is still a government identifier, and a browser with no account behind it is the wrong place for it.
Where should the completed W-9 go?
Wherever you keep sensitive documents. The notes field is for saying where you filed it, so somebody can find the paper — not for anything that is on it.
Does it decide who needs a W-9?
No. Who you request one from is your decision and your accountant’s. This tool makes no determination about anybody’s tax status or reporting requirements.
Does it send the request?
No. It sends nothing. It records that you asked, so you can see who has not replied.
What is the chase date?
A date you chose. Nothing is calculated from it, no deadline is implied and no reminder is sent.
