A rent roll is a date, not a document you edit

The “as of” date is required for that reason. Next month's rent roll is a new sheet, and the one you filed in March still says what the property looked like in March — which is the whole reason anybody asks for one. A rent roll you kept editing would have no date it was true on.

It totals nothing, and that is deliberate

No gross potential rent, no occupancy percentage, no income figure. Those numbers get relied on in sales and loan files, they depend on decisions this tool has not been told about — concessions, arrears, what counts as occupied — and a figure printed here would carry authority it has not earned. The schedule is the deliverable; the arithmetic is yours.

Does it add up the rent?
No. Occupancy and gross potential rent depend on judgments the tool has not been told about, and both get relied on in a sale or a loan file. It prints the schedule you typed; the totals are yours to work out and stand behind.
Is this an accounting record?
No. It is a point-in-time schedule of what you typed — no ledger, no arrears calculation, no income statement, and nothing anybody should rely on for a transaction without checking it against the leases.
How do I show a vacant unit?
Put the unit in, write “vacant” as the occupant and set the status. A rent roll that only lists occupied units is the one that misleads, which is why the occupant field takes text rather than a name lookup.
Can I keep a rent roll per month?
That is exactly how it is meant to be used. Each sheet carries its own “as of” date and files as its own record, so the history is a series of snapshots rather than one document that quietly changed.
