Damage chargeback notice
NoticeWhat was damaged, the evidence you hold, the amount, and how you arrived at it — in your own words.
It determines no liability
Nothing here decides that a resident is responsible for damage, or draws the line between damage and ordinary wear and tear. That line is drawn differently in different states, and it turns on facts about a specific unit that no software has seen. The notice states your charge and your reasoning; it does not certify either.
Your working, not ours
The period you give somebody to pay or respond is yours to state — CompliMaint fills nothing in and the box opens empty, because what you may charge and when depends on the lease and on the law where the property is. The amount is a figure you typed and the basis is a paragraph you wrote. CompliMaint calculates nothing on this notice — no depreciation, no useful-life proration, no apportionment against a deposit. Where a charge is going to be set against a security deposit, deposit rules carry real penalties for getting them wrong; the deposit tools and your own attorney are where that belongs.
What a charge usually rests on: Condition report · Deposit return letter · Deposit deduction calculator
A dated statement of a charge, built from your own words and figures. CompliMaint determines no liability, does not distinguish damage from ordinary wear, states what may be charged nowhere, and calculates no amount. This is not legal advice. Everything runs on your device.
Questions people ask
- Does it work out what I can charge?
- No. It calculates nothing — no depreciation, no proration, no apportionment. The amount is what you typed and the reasoning is what you wrote, and the notice prints both so the resident can see how you got there.
- Is this the same as a deposit deduction?
- No, and keeping them apart matters. Charging a resident during a tenancy and deducting from a security deposit at the end are governed differently, and deposit rules carry penalties. Use the deposit tools for a deduction.
- What counts as ordinary wear and tear?
- CompliMaint takes no view. It differs by state and turns on facts about the specific unit. The evidence section is there so your record shows what the condition actually was.
- Should I attach photographs?
- Reference them — nothing is attached by this tool. Naming the photographs, the move-in condition report and any invoice is what makes the notice checkable later.
