This tool has no number field, and that is the design
Every other register here offers somewhere to type a reference. This one does not. A box on a screen headed with somebody’s name, labeled with anything that looks like it wants a number, is where an identification number gets typed — and once it is typed, the product is storing exactly what it says it does not. The absence is not an oversight to be fixed later.
Where it is kept, not what it says
The description field asks where the document lives — a drawer, a folder name, a cabinet — and the hint under it says not to copy the contents in. An index that quietly became a transcript would be a personnel file wearing a checklist’s clothes, held in a browser, backed up to whatever you back this up to.
Where it sits
Which policies somebody has acknowledged belongs on the acknowledgment tracker, training on the training matrix, and the first-week paperwork on the onboarding checklist. What each of them has in common with this one is that none of them holds the document.
An index of which documents are on file, and nothing else. CompliMaint holds no document and no contents: no identification or tax numbers, bank details, immigration or I-9 data, medical information or background-check results. Questions people ask
- Does this store the documents?
- No, and it has no way to. It is an index: the name of a document, where it is filed, who checked, and whether it is there. There is no upload, no attachment and no field for the contents of anything. If you are keeping documents, keep them where you keep documents; this tells you which ones are missing.
- Why is there no reference or number field?
- Because on this particular screen, a box labeled with anything number-shaped is where a Social Security number, a license number or a passport number gets typed. Every other register in this product offers somewhere to type a number. This one does not, deliberately, and that absence is the guard: the way to not hold something is to have nowhere to put it.
- Can I use it for I-9 or right-to-work records?
- You can note that such a document exists and where it is filed. You must not record its contents here — no identification numbers, no document numbers, no expiry dates copied off an identity document, no immigration data. This product knows nothing about employment eligibility verification, states no requirement about it, and would be the wrong place to keep any of it.
- Does it tell me which documents I am required to hold?
- No. There is no starter list of required documents and no retention period, because what you must hold and for how long depends on where you are, what you do and who regulates you. A list presented as the required list would be the most confident lie a template could tell.
