The distinction is the entire point of the tool. Money a client has given you to hold is governed where you practice, needs a ledger built for it, and typically needs three-way reconciliation against a bank statement and a client ledger. This log holds none of that: it is a list of money that left your own operating account, for a matter, that you expect to recover. Do not use it as the record for funds held on anybody’s behalf.

Advanced is not billed, and billed is not recovered

The stages keep those three apart, because the gap between them is where small disbursements quietly disappear. A courier fee advanced in March, never billed on, is an open item; one billed and unpaid is a different open item; one written off is a decision somebody made. A log that closed the row when the money left the account would hide all three.

Does it work out what is recoverable?
No. Whether a cost is recoverable from a client, an opponent or an insurer is a question about your engagement terms and the rules that apply to you. This records what you paid and what you say happened to it.
Is the amount checked against anything?
No. It is a figure you type. Nothing is reconciled, no balance is asserted and no total is presented as an account of anything.
Where is the data kept?
Without an account: in your browser, on this device, with nothing uploaded and nothing to sign up for.
