Enter and pay supplier bills
From a supplier's invoice in the AP inbox to a posted, paid bill.
How toReviewed September 27, 2026
Supplier invoices (AP inbox)
- In the AP inbox, press “Enter an invoice” (or “Put it in the inbox” to enter it later).
- Fill in the vendor, amounts and coding. Flags warn of a possible duplicate, an unmatched vendor, or missing coding.
- “Send it for approval”.
- Once approved, “Post it to Finance” — it becomes a bill.
Bills and expenses
In Bills and expenses, “Enter a bill” or “Add an expense” directly, and “Record a payment” when you pay. You can say which work order, job or property the cost belongs to.
Once you buy through Spend Control
When your workspace has sent a purchase for approval or confirmed a vendor invoice in Spend Control, new vendor bills are entered there, so each one is matched to its purchase order, approved, and owed once. “Enter a bill” takes you there. Bills already in your books stay where they are and are paid as before; “What you owe” shows both, and nothing is counted twice.
